Refunds, Cancellations & Workshop Policies

By purchasing artwork or booking a workshop, retreat or experience, you acknowledge and agree to the following policies.

📦 Artwork

All artwork sales are final.

If your artwork arrives damaged, we’ll gladly replace it. Please email photographs of the damage to hello@alanstenbackphotography.us within 10 days of delivery so we can arrange a replacement.

📸 Workshops, Retreats & Experiences

Deposits & Payment

A deposit secures your spot and allows us to plan, prepare, and hold one of a limited number of spaces. Because of the small-group nature of our workshops, retreats, and experiences, all deposits are non-refundable.

Full payment is due 30 days before the workshop, retreat, or experience unless otherwise noted.

We’re happy to offer flexible payment options, including split payments, custom payment schedules, or payment in full.

If You Need to Cancel

We understand that plans can change.

Your deposit is non-refundable.

If we’re able to fill your cancelled spot from our waitlist or through a new registration, any payments made beyond your deposit will be refunded to your original payment method.

If we’re unable to fill your cancelled spot, payments are non-refundable.

Transfer to a Future Workshop

If you’re unable to attend, all payments you’ve made—including your non-refundable deposit—may be transferred as credit toward a future Alan Stenback Photography workshop, retreat, or experience.

Transferred credits are valid for 24 months from the original workshop, retreat, or experience date and may be applied toward any available Alan Stenback Photography workshop, retreat, or experience. Transfers are subject to availability.

No-Shows

No refunds or credits will be issued for no-shows or same-day cancellations.

👥 Minimum Enrollment

Our workshops, retreats, and experiences require a minimum number of participants to operate.

If minimum enrollment is not met, Alan Stenback Photography reserves the right to cancel or reschedule the event. In that case, you’ll have the option to:

  • Transfer your registration, including your deposit and any payments made, to another available workshop, retreat, or experience, or
  • Receive a refund of all payments made beyond your deposit.

Your deposit will remain on your account as a transferable credit and may be applied toward a future Alan Stenback Photography workshop, retreat, or experience for up to 24 months, subject to availability.

Whenever possible, we’ll notify registered participants at least 14 days before the scheduled start date if a workshop, retreat, or experience will be cancelled or rescheduled due to insufficient enrollment.

🔁 Rescheduling

If a workshop, retreat, or experience must be rescheduled due to weather, safety concerns, government closures, insufficient registrations, or other unforeseen circumstances, your registration—including your deposit and any payments already made—will automatically transfer to the new date.

If you’re unable to attend the rescheduled date, all payments you’ve made, including your deposit, may be transferred as credit toward any future Alan Stenback Photography workshop, retreat, or experience. Transferred credits are valid for 24 months from the original scheduled date and are subject to availability.

Because planning and logistics are committed in advance, deposits remain non-refundable.

Alan Stenback Photography is not responsible for additional expenses incurred as a result of a rescheduled or cancelled workshop, retreat, or experience, including airfare, lodging, meals, vehicle rentals, fuel, park entrance fees, or other travel-related expenses.

🌩️ Weather

Photography is deeply connected to the natural world, and weather is part of every experience.

Workshops and retreats are conducted rain or shine whenever conditions can be managed safely. We may adjust locations, timing, shooting plans, or instructional activities to make the most of the conditions available.

Because weather and natural conditions are beyond our control, refunds or credits are not issued due to weather, cloud cover, smoke, atmospheric conditions, wildlife activity, seasonal changes, or other environmental factors.

If conditions become unsafe, we reserve the right to modify, postpone, or reschedule any portion of the workshop.

📍 Travel & Transportation

Unless specifically stated otherwise, participants are responsible for arranging and paying for their own:

  • Airfare or transportation to the workshop location

  • Airport transfers

  • Lodging

  • Meals

  • Local transportation

We’re always happy to provide recommendations, but travel arrangements remain the responsibility of each participant.

🛡️ Travel Insurance

We strongly recommend purchasing travel insurance that includes trip cancellation, interruption, medical, and emergency evacuation coverage.

Alan Stenback Photography is not responsible for expenses or losses resulting from travel delays, cancellations, illness, injury, weather, or other unforeseen events.

⚠️ Assumption of Risk & Liability

Participation in photography workshops, retreats, and outdoor experiences involves inherent risks, including but not limited to:

  • Hiking on uneven or rugged terrain

  • High elevations and changing weather

  • Cliffs, water crossings, and natural hazards

  • Low-light and nighttime environments

  • Wildlife encounters

  • Remote locations with limited access to emergency services

By participating, you voluntarily assume all risks associated with these activities.

You agree to release and hold harmless Alan Stenback, Gina Stenback, Alan Stenback Photography, Stenback Digital Media Ltd, and any employees, assistants, contractors, guides, volunteers, or affiliated partners from liability for injury, illness, death, property damage, loss, or expenses arising from your participation, except where prohibited by law.

You also confirm that you are physically capable of participating and will disclose any medical conditions or limitations that could affect your safety or the safety of others.

📷 Media Release

By participating in a workshop, retreat, or experience, you grant permission for Alan Stenback Photography and Stenback Digital Media Ltd to photograph and record you during the event.

You authorize the use of these photographs and videos for marketing, educational, editorial, and promotional purposes, including use on websites, social media, printed materials, advertising, and other promotional media.

You also grant permission for Alan Stenback Photography to use photographs you voluntarily share with us after the event unless you specifically request otherwise in writing.

You waive any right to compensation, ownership claims, or approval of the final use of these materials.
